General Clerical Support

SEIU 721 is a dynamic and fast-growing labor organization recognized as one of the largest and strongest unions
of publicly funded employees in the nation. We represent over 100,000 workers and have over 200 staff employees
covering 6 counties in Southern California; including Ventura, Los Angeles, Orange, and Riverside counties and
numerous cities in these regions. Our members provide critical services within the public and private sectors in
diverse fields including health care, social services, libraries, courts, parks and recreation, public works, higher
education, mental health, and many others. They work tirelessly to care for the sick, protect the environment,
support families in need, and protect our communities’ most vulnerable individuals. We represent frontline workers

SEIU 721 organizes workers in the public and private sectors and empowers them to not only affect change in their
workplace, but at the political level as well. Through grassroots organizing, identifying, and developing leaders
within our Union, we make sure that our members voices are heard, and that the government is held accountable to
ensuring efficiency, advocating for those in need, and improving access to services.

SEIU 721 represents public and private service workers across Southern California who are committed to their
communities’ health and well-being. Our goal is to uplift those workers who have been historically marginalized and
give them a seat at the table so they may provide for their families for generations to come. We continue to grow our
outreach so that we can provide excellent representation and strengthen the power of workers in a changing labor
economy.

RESPONSIBILITIES:
The General Clerical Support reports directly to the Regional Director and/or s/he designee and provides
clerical support to ensure the efficient operation of the Department and/or Region such as data entry,
mailing, and meeting preparation.

ESSENTIAL FUNCTIONS INCLUDE BUT NOT LIMITED:

  • Front desk reception, greets visitors, answers and transfers calls, receives deliveries, and orders
    office supplies;
  • Maintain and update all existing and new contacts on Outlook, coordinate and maintain Director’s
    calendar and collect staff timesheets for Directors signature for submission;
  • Arrange for meetings by coordinating calendars, distributing agenda material, reserving
    conference rooms, and includes processing food requests and vendor payments;
  • Purchases office supplies, processes invoices and routine reports manually or by utilizing
    electronic systems;
  • Updates and maintains membership database which includes but not limited to entering new
    members, cancelling payroll deductions, processing COPE, processing and reconciliations of
    supplemental insurances, and data entry for union activities/events;
  • Processes dues by reconciling dues check-off roster electronically; (must pick up dues check and
    report from City Hall) comparing new Excel worksheet against pay periods for any differential
    amounts to create an exception report. Once exceptions are identified, they need to be
    corrected, updated in database, and notification sent to employer;
  • Performs Receptionist duties such as greeting visitors, answers and routes calls to appropriate
    individuals, notifies staff of visitors, signs for carrier delivered packages, and notifies appropriate
    recipients;
  • Operate office equipment such as computer, facsimile machine, photocopier, postage meter, etc.
    Place service calls as needed and gets bids on repairs;
  • Establish and maintain hard copy and/or electronic filing system;
  • Process shop steward certifications, de-certifications and re-certifications, which include
    correspondence with various Personnel Departments;
  • Prepare mailings as assigned;
  • Perform admin support for staff such as, copy file documents, prepare all certified/return mail and
    prepare memos as needed;
  • Prepare/mail letters of notice to appear at grievant review, appeal, withdrawal, discipline,
    appointment, and recommendation letters;
  • Prepare release time requests for all members and time reconciliation;
  • Gather receipts from credit card use including verification of each receipt against each statement
    and submit to Director for approval;
  • Assign FOBS for new staff, monitor camera as needed and serves as alarm company contact
    person;
  • Assist with travel arrangements, itineraries and accommodations;
  • Various additional duties such as check requisitions, purchase orders, order supplies and
    outgoing mailings as requested;
  • Data Entry

MINIMUM REQUIREMENTS:

  • Ability to communicate, work effectively and relate respectfully with a diverse membership and
    staff;
  • Ability to exercise good judgment in order to solve operational problems/dilemmas;
  • Computer skills in Microsoft Word, Excel, and e-mail programs are preferred;
  • Ability to type 35 to 40 WPM;
  • Proficient in data entry, typing and filing;
  • Excellent organizational skills;
  • Demonstrates ability to work independently and as part of a team and respond quickly to shifting
    priorities and rush deadlines;
  • Ability to handle heavy telephone volume in a courteous and professional manner;

SALARY AND BENEFITS:

  • Current hourly rate is $26.73 (entry) to $31.49 (10 years)
  • Fully paid benefit package including medical, dental, vision and a generous life insurance.
  • The Administrative Support Assistant is an hourly OPEIU bargaining unit position subject to a staff union
    contract.
  • Work hours may be between 7:00 a.m. and 7:00 p.m., subject to department needs.
